Siteworks Office Operations Manager
Location: Ferrisburgh, Vermont
Hours: 40 hours per week, Monday–Friday
Type: Full-Time, Employee-Owned
We are seeking an Office Operations Manager to aid the development and success of our Siteworks department. The Office Operations Manager is responsible for assisting with project development, documentation, and tracking, as well as maintaining the necessary state and federal documentation needed for the operation of our fleet of machinery.

Team Support Responsibilities
Adjust and export time entries from timekeeping software and share with Accounting team.
Create estimate presentations.
Send, track, upload, and communicate about client contracts.
Scan and upload material slips.
Create purchase orders to enable Accounting to pay Siteworks vendors and subcontractors.
Coordinate the activities and renewals necessary for Equipment Operators to meet ongoing CDL requirements.
Maintain Siteworks vehicle and equipment registration and insurance renewals.
Update and maintain the timekeeping app.
Maintain and communicate the Siteworks crew schedule.
Perform other support tasks, as needed.
Project Responsibilities
Identify and coordinate information needed for project contracts, as well as key, atypical contract requirements and communicate relevant information to the Accounting team.
Coordinate with the Siteworks team to track project opportunity costs by setting up new projects in the ERP system.
Enter project start-up documentation in Accounting and Project Tracking software.
Update the Project Tracking and Accounting software with project start-up information and status updates to reflect accurate and up-to-date information.
Communicate project bid timelines to the Siteworks team and collaborate on bid submittals.
Permit submissions and meeting coordination, as needed.
Aid with project invoicing by comparing project budget with actual time and materials to-date costs and collaborate with Accounting, as needed.
Maintain project pipeline to capture current and future project timelines for forecasting and scheduling.
Assist with creating project estimates, as needed.
Allocate employee/operator time and materials to appropriate job costing categories.

Knowledge of or experience with the construction, siteworks, and/or masonry industries.
Able to read and understand site plans.
Proficient in or willing to learn multiple software programs, including Microsoft Teams, project tracking, and accounting software.
Compensation & Benefits
Pay Range: $30-$35/hour, depending on experience.
